Sharing Files in M365

Microsoft 365 (M365) provides a seamless way to share documents and collaborate with others using OneDrive. Here's how you can share files and manage permissions effectively.

Sharing a Document

  1. Select the Document: Navigate to your OneDrive and select the document(s) you wish to share.

  2. Click 'Share': Click the Share button located in the top ribbon menu.

  3. Enter Recipient Names: In the sharing dialog, enter the names or email addresses of the individuals you want to share the document with. As you type, M365 will suggest matches from the Stonehill College address book.

  4. Set Permissions: By default, recipients are granted View Only access. To change this:

    • Click the drop-down arrow next to the permission level.

    • Choose Can Edit if you want recipients to have editing capabilities.

    • You can modify these permissions at any time.

  5. Add a Message (Optional): You can include a personalized message that will be sent along with the sharing invitation.

  6. Send or Copy Link:

Editing Documents Shared with You

  • Accessing the Document:

    • Click the link in the email notification you received.

    • Alternatively, go to your OneDrive in a web browser and select Shared from the left-hand menu to view files shared with you.

  • Editing Permissions:

    • If you have Edit permissions, you can make changes directly to the document.

    • If you have View Only access:

      • Click File > Save As to save a copy of the document to your own OneDrive or device.

      • Make your edits on this new copy, which is separate from the original shared document.

Viewing Version History

To track changes and view previous versions of a document:

  1. Navigate to the document in your OneDrive.

  2. Click the ellipsis () next to the document name.

  3. Select Version History from the menu.

  4. A panel will display the list of versions, including the names of individuals who made changes and the dates of those changes.
